How you backup Outlook emails depends on where your mailbox lives. With classic Outlook, you can use the Import/Export wizard. Without it, Email Backup & Migration Tool for Microsoft Office 365 and Outlook signs in through a Microsoft window and saves every mail folder to one PST.

Where does your Outlook mail actually live?

TL;DR

A POP account downloads mail into a .pst file on your PC. Server accounts (Outlook.com, Microsoft 365, Exchange, IMAP) keep the master copy online; Outlook holds a cached .ost copy tied to the account.

Open classic Outlook and go to File > Account Settings > Account Settings. The Type column shows POP/SMTP, IMAP/SMTP or Microsoft Exchange beside each address. Outlook.com and work Microsoft 365 accounts appear as Exchange.

Microsoft's back-up article says Exchange and IMAP servers "automatically archive your email" so you can reach it from any device.
That server copy syncs: delete a folder on your phone and it disappears in Outlook too. Keep a separate backup on a disk the mailbox can't touch.
An AnandTech forum thread explains why copying an .ost fails as a backup: the file belongs to its account and will not open on its own.

For Gmail, Yahoo, AOL or a hosting company's IMAP server, you can export from classic Outlook. Our email backup software can also back up those IMAP mailboxes directly to EML, MBOX or PST, without Outlook. For Outlook.com and Microsoft 365 mailboxes, use the separate program below.

Which backup method fits your account?

TL;DR

Classic Outlook can export local POP mail and server accounts such as Microsoft 365 after downloading the whole mailbox. New Outlook and Outlook on the web have limits: neither gives you a full PST that you can import again later.

How to backup Outlook emails to a PST file with a manual export in classic Outlook

TL;DR

Microsoft's instructions to export Outlook to PST take six steps, from File > Open & Export to a saved Outlook Data File (.pst). Download the whole mailbox before you start, or the backup stops at a year back.

1 year
of mail is what classic Outlook downloads by default from a Microsoft 365 or Outlook.com account. Older messages stay on the server unless you change the setting.
Source

First, pull the whole mailbox down:

  • Go to File > Account Settings > Account Settings and double-click the account.
  • Move the Download email for the past slider to All, click Next and restart Outlook.
  • Leave Outlook open until the status bar says All folders are up to date.

Then run the export:

  • Click File > Open & Export > Import/Export.
  • Choose Export to a file, then Outlook Data File (.pst).
  • Select the account name at the top of the folder list and tick Include subfolders.
  • Pick a save location on a local drive and choose how to treat duplicates.
  • Click Finish. Outlook offers an optional password; skip it unless you will remember it in five years.

Run the wizard once per account. Microsoft's export guide says contacts and calendar go into the same PST when you export the whole account.

Save the PST outside your OneDrive folder. Microsoft says "OneDrive will block automatic syncing for Outlook .pst files". Save locally, then copy to an external drive.

How to backup all Outlook emails from Outlook.com or Microsoft 365 with a third-party backup tool

TL;DR

A desktop program can sign in through Microsoft's login window and save every folder to a PST without Outlook installed. Ours handles Outlook.com and Microsoft 365, including old Hotmail and Live addresses; the free trial saves 25 emails from each folder you tick.

Email Backup & Migration Tool for Microsoft Office 365 and Outlook reads straight from the server, so the one-year download setting does not matter. It leaves the mailbox unchanged.

We tested it with a personal Outlook.com mailbox. The Microsoft sign-in window opened, and the folder tree loaded with message previews. We cut the connection during download; the next run resumed where it stopped. Chinese subjects and emoji remained intact when we opened the PST in classic Outlook.
The program runs on Windows and saves mail to PST only. You will need a converter for MBOX. Contacts and calendar are excluded, and restoring mail to a mailbox requires a separate step.

How to export emails in new Outlook for Windows

TL;DR

New Outlook exports a mailbox or selected folders to .pst from Settings > Files > Export. It cannot import a .pst back. Microsoft states that "Calendar and contacts items saved in .pst files is not available in new Outlook at this time."

You can open the exported file in classic Outlook or another PST reader.
If classic Outlook is installed, use the toggle at the top right of new Outlook to switch back and run its full export wizard. Otherwise, keep a way to open the file you export from new Outlook.

On a PC with only this version, we recommend treating its export as a second copy.

Can you download Outlook emails from the browser in bulk?

TL;DR

Not in bulk. Outlook on the web has no whole-mailbox export button. Your options depend on whether you have a personal Outlook.com account or a work or school account managed by an employer.

A moderator's answer about Outlook on the web on Microsoft's Q&A site confirms the lack of bulk export and points personal-account users to Microsoft's Download your data option. Check its contents before relying on it as your only copy: this privacy export is not built for restoring mail.

For one message, you can save an Outlook email as a PDF in the browser as you would in the desktop program. For the whole mailbox, add the account to classic Outlook and export, or use the desktop backup program with the same Microsoft account. Both read the server mailbox you see in your browser.

How to backup all Outlook emails in a POP account by copying the .pst file

TL;DR

For a POP account or local archive, back up the .pst file. Close Outlook and copy the file to an external drive or USB stick.

Go to File > Account Settings > Account Settings > Data Files, select the file and click Open File Location. Close Outlook before copying. While Outlook runs, it locks the file, so the copy may fail or be broken.

50 GB
is how large a PST file can grow, according to IONOS. A file that size takes a long time to copy and slows Outlook.
Source

If yours is near that size, reduce PST file size before archiving it.

Copying to a USB stick or external drive:

  • Check the drive format. Many USB sticks ship as FAT32, which rejects single files over 4 GB; format the stick as exFAT or NTFS for a large PST.
  • Copy the file, leaving the working file where Outlook expects it.
  • Date the copy, for example outlook-2026-10.pst, to avoid overwriting an older backup.

Skip CSV in the wizard. Regain Software's guide to saving Outlook emails says CSV keeps only text and simplified links; the rest of the data is lost.

Cloud-based backup for the PST copy:

A POP account keeps its mail in the .pst on your PC, so the dated copy may be the only backup you have. For a cloud-based backup, upload that copy to cloud storage by hand once it is on the external drive. Keep the working .pst out of your OneDrive folder, since OneDrive blocks automatic syncing of .pst files, as the export section above notes. The drive copy stays the first backup, the cloud upload the second.

Why can't I export emails from Outlook, or why are some missing?

TL;DR

Empty or partial exports usually happen because Outlook exports only downloaded mail. An AnandTech forum reply says Outlook "only writes what's already cached". Set the download range to All, wait for sync to finish and export again.

A reply in a thread on copying Outlook mail to an external drive confirms that export copies your files and leaves the originals in place. Microsoft's export page gives the Cached Exchange Mode default as 12 months. A ten-year mailbox can therefore export as one year; the AnandTech thread's author got only empty folders.

  • Check AutoArchive. Older items may be in a separate archive file outside the mailbox you exported.
  • Check for a damaged data file. A Microsoft Tech Community thread about missing mail in an OST-to-PST backup points to the Inbox Repair Tool (scanpst.exe). You can use it to repair a PST file.
  • Check hidden folders and view filters. A filtered view can make full backup folders look empty.

If the export remains incomplete, use the desktop program to read the mailbox from the server.

How to recover Outlook emails from a PST backup

TL;DR

Check the file before relying on it: File > Open & Export > Open Outlook Data File opens a separate folder list. To restore, run the Import/Export wizard and choose Import from another program or file.

A quick check takes two minutes. Expand a few folders in the PST and compare counts with the live mailbox. Open one old message with an attachment. If these checks pass, the backup is usable. You can also open a PST file without Outlook.

To restore in classic Outlook, select the wizard's import option, then Outlook Data File (.pst). Choose your file and a duplicate option. Use the same procedure after a reinstall or a wiped profile.
After importing a PST from an IMAP account, folders can look empty. Microsoft's article on missing messages after a PST import says the messages are hidden from view. Switch to View > Change View > IMAP Messages.

Moving to a new computer:

For Outlook.com and Microsoft 365, sign in on the new PC to sync your mail from the server. A user on Microsoft's answers forum asked about this before replacing Microsoft 365 with Office 2021. You rarely need the PST, but keep one during the move in case a folder fails to sync. For POP, copy the PST to the new PC and import it or open it as a data file.

How to save Outlook emails when leaving a job

TL;DR

Check your company's email policy and ask IT. Your employer owns the work Microsoft 365 mailbox and can block PST export or require admin approval before a program can read mail.

With IT's agreement, export from classic Outlook and select only the folders you may take. Our program can also sign in to work Microsoft 365 accounts where the organization allows it. An admin may need to approve it first; we have not tested it on a corporate tenant.

Keep only personal threads and the paperwork HR asked you to retain. Leave client data and shared mailboxes behind, even if the program can reach them.

Export before your last day. Once the account is switched off, you cannot export its mailbox. Open the finished PST and check a few folders while you still have access.

Can you backup Outlook emails with an automated schedule?

TL;DR

Outlook alone cannot automate backups. Microsoft's export page says there is "no automated way to periodically backup everything". AutoArchive moves old items into an archive file instead of copying them.

AutoArchive's separate .pst lives on one PC. If that PC dies, you lose the archive, and those messages are already gone from the server.

Set a monthly calendar reminder to export and date the filename. Our program has no scheduler either. Repeat backups take the same few clicks; use the date filter to save only last month's mail.
For IMAP mailboxes outside Microsoft, our IMAP backup program fetches only new messages on repeat runs.
