Download the IMAP to IMAP Email Migration Tool and install it on Windows 10 or 11, 64-bit. Enter your old address in the From panel on the left. For a hosting or company server, pick Other IMAP server and enter host and port. Press Test.

Your Microsoft password stays on the Microsoft page

Provider presets

Enter your address and the program picks a preset from its domain. For Gmail, Outlook.com, Hotmail, Live, Yahoo, iCloud, me.com and mac.com, server name and port fill in automatically. For other providers, choose Other IMAP server and set host, port and SSL/TLS, STARTTLS or no encryption.

A test that names the problem

The connection check runs through Server responds, Sign-in and Folders. If a stage fails, you get a plain-language reason: IMAP may be disabled in your mailbox settings, the server may require an app password, or port and encryption may not match. Usually, 993 needs SSL/TLS and 143 needs STARTTLS.

Folder map before you start

The program matches folders by role: Gmail's Sent Mail goes to Sent Items in Microsoft 365, with Drafts and Archive matched the same way. Missing destination folders get a will be created badge. We leave Gmail's All Mail, Important and Starred unticked because they repeat mail from other labels. Trash and Junk also start unticked; tick them if you want them.

Byte-exact transfer

The program sends each message as raw bytes, keeping its original received date and flags. Your read and starred messages arrive that way too. It reads the old mailbox in peek mode, leaving unread mail unread. We checked 20 of 20 samples by SHA-256 on our own server, including one of 13.9 MB. Every hash matched.

Recovers from bad connections

If the connection drops, the program retries up to 5 times, pausing 2, 5, 10, 20 and 30 seconds. If the server asks it to slow down, it waits 30 to 120 seconds and resends the same message without counting an error. Messages over the receiving server's size limit are skipped and logged; the rest continue.

Progress in numbers

You get a table of folders with Moved, Already there and Errors counts. Time left is calculated from the last 60 seconds of work. The plain-language migration log shows what was copied or skipped in each folder, with the reason.

A desktop IMAP program is faster to set up for a single mailbox or a destination outside Microsoft.

You can migrate Gmail mail into Outlook. Create an Outlook.com or Microsoft 365 mailbox, connect Gmail as the source with an app password and Microsoft as the destination, and copy. Gmail labels arrive as folders. Move contacts and calendars separately using export and import in Google and Outlook; IMAP carries neither.

Gmail and Yahoo require an app password from your account security settings. Google shows that option only after you turn on 2-Step Verification. iCloud Mail requires two-factor authentication before issuing one. Microsoft accounts sign in without an app password.

Check that IMAP is enabled in your mailbox's web settings, that you're using an app password where required, and that port matches encryption type. The Test button identifies a port and encryption mismatch. If the error mentions a certificate, copy the host name exactly as your provider writes it.

The current version of IMAP to IMAP Email Migration Tool works with personal Gmail accounts. Work and school Workspace accounts often block app passwords through admin policy and have plain password sign-in for IMAP turned off. For Workspace mail, speak to your Workspace admin first.
