Sign an engagement letter or an NDA and you have quietly taken on a second question. Who else ends up holding the file? Nobody converts a statement for the pleasure of owning a CSV, and the destination decides the whole job. If the rows belong in a spreadsheet, on a reconciliation tab or in a schedule an auditor asked for, then CSV is the end of the road, and the same engine ships as a PDF to CSV converter for the invoices and printed reports that are not statements at all. If the rows are going into accounting software instead, CSV is only a stop on the way, and the format that software really wants is covered in the questions below.

A statement is three things stacked in one document. At the top an address and account block, in the middle the transaction table, at the bottom the closing balance and the small print. Only the middle part is data. Bank Statement Converter keeps what is table-shaped: an address block and the small print are prose, not a grid, so they never become rows. A summary box that is itself a little table does come out - as its own table in the file, easy to spot and drop.

Nine pages, stitched back together

Statements run over pages, and the column header repeats at the top of every one of them. Rows are stitched across the page breaks and the repeated headers are dropped, so what you export is one table with a single header line, not a dozen fragments glued together by hand. On a real scanned nine-page statement the page fragments were stitched back into five tables instead of a block per page, with 91 percent of rows correct in every cell.

No list of supported banks to be missing from

There are no per-bank templates inside, and that is on purpose. The table is rebuilt from the geometry of the page, from ruling lines where the bank drew them and from corridors of white space where it did not, so a credit union with a two-column layout and a European bank printing amounts with a comma are the same job. Nothing has to be added to a supported-institutions list before your statement will convert.

Scans go through the same door

A page with no text layer is detected and rendered at the resolution of the image the bank actually embedded, then read by a recognizer that runs in its own process on the same PC. The decision is made page by page, so a normal text PDF is never slowed down by it. Recognition covers Latin scripts (EN, DE, FR, ES, IT, PL, CS, SK, TR) and Cyrillic (RU, UA, BY); CJK, Arabic, Thai, Greek and Hebrew are not supported. Around 3 seconds per page is typical, which puts a 40-page statement at roughly two minutes.

Amounts that add up

Banks write money in their own dialects. The accountant's parentheses, (1,234.56), become -1234.56 with nothing to switch on. The rest waits behind three checkboxes on the Convert tab. Normalize numbers rewrites thousands separators, the non-breaking space and the Swiss apostrophe among them, and takes both the comma and the dot as a decimal mark. Strip currency symbols moves the symbol into a column of its own. Normalize dates writes them in ISO order.

A year of statements in one run

Point the program at a folder and every PDF inside is processed in the same pass, into one combined CSV or one file per document, whichever you pick. Catch-up work arrives as twelve or thirty-six months across several accounts. Selecting those one at a time is not work, it is just clicking.

Short answer: a program that pulls the rows of transactions out of a bank statement and writes it in a form a spreadsheet or an accounting package can read. Long answer: statements are published as documents, not as data. The layout is made to be printed and filed, and the rows only look like a table to a human eye. To a machine they are loose runs of text sitting at certain coordinates. A converter rebuilds the real table out of that layout, with the date, the description, the amounts and the running balance if the bank prints one. Most products carrying this name are web services. Bank Statement Converter is a Windows program instead.

The category is ordinary software, and reading your own statement is your own business. The narrower question is where the document sits while it is being converted. With a web service the answer is on their servers, for as long as the retention policy says, and those policies are published, so read one before you paste anything into a browser. With a program installed on your PC the statement is opened from the folder it is already in, and scanned pages are recognized by a process on the same machine. That is a difference in architecture, not a promise about how carefully somebody deletes things later.

Detecting forgery is a different product, and we do not sell it. Forensic tools do exist that examine a PDF for signs of editing, such as substituted fonts, inconsistent internal objects or arithmetic that does not close, and lenders and insurers use them. A converter has nothing to say on the subject. It reads what the document contains and writes it out. If a statement was doctored before it reached you, the CSV carries the doctored numbers exactly as they stand. Conversion is transcription. It proves nothing about the document.

Install the converter, add the PDF or the folder of PDFs, look at the preview, export. That is the whole procedure. One thing is worth knowing before you start. CSV is only one of the two things a statement becomes. The other is a bank file that accounting software imports directly, and if that acronym is new to you, here is what a .QBO file is. Which of the two you want depends on where the rows are going, not on the statement in front of you.

On the bank site, look for Download or Export next to the account activity rather than next to the statement itself. The statement link gives you a PDF, the activity export gives you CSV or a bank file. The catch is the period. Activity export usually covers the recent months, while the PDF archive covers years, so anything older than the export window has to come out of the document. A closed account is the harsher version of the same thing, since the statements stay available for a while and the export does not. Whichever of the two you end up with, the bank file is the one nobody can read at a glance, so it is worth knowing you can print a .qfx download as a PDF statement when the document itself is what somebody asked for.

Convert it to CSV and open that. The file is written with a UTF-8 byte order mark, so a double-click lands you in the spreadsheet with the encoding already right instead of in an import wizard. Native XLSX output is not in this version. And if a spreadsheet is not really the destination, if the rows are meant for QuickBooks, then CSV is the long way round, because the PDF to QBO converter writes the Web Connect file the accounting software imports directly, out of the same statement.

Any honest answer starts with what you are converting. On native PDF statements from a large bank most tools in this market cope, and the differences show up on scans, on statements that run over many pages and on layouts nobody wrote a template for. Recognition is limited to Latin and Cyrillic scripts. The quickest way to compare candidates is to run the same awkward statement through each of them and look at what happened to the columns.
