What PST to PDF Converter Software does.

What PST to PDF Converter Software does

Easy to use PST Viewer.

  • Works without Outlook. PST to PDF Converter Software uses its own engine to read and analyse .PST and .OST files.
  • Keeps the HTML layout. Your emails retain their original HTML formatting, fonts, and inline images.
  • Built for many GB archives. A mailbox with tens of thousands of messages opens and exports in a single batch.
  • PDF by default. You can also save as HTML for publishing or TXT for editing or summarizing by LLM.

Online PST to PDF converters often cap input files at around 200 MB; few accept a 1 GB database. Most offer limited folder preview, filtering, and selection, preventing you from extracting just the emails you need.

Folder tree, selective export

The left pane shows the PST folder tree, including Inbox and Sent. Check folders to export or click to view messages.

Preview and filter first

Preview any plain text or HTML message before selecting it for PDF export.

Batch export with a live count

Check folders to see the exact number of messages selected for export.

Narrow the list by date

Use the Date control above the message list to keep recent mail with a preset such as Last 30 days, or choose Custom and set From and To. You can also use text search. Switch to Export selected messages and click Select All to export only the filtered emails to PDF.

Output keeps the PST folders

Export checked folders with Merge all into one PDF turned off. The program then rebuilds your mailbox tree under the output folder, so each checked folder, Inbox and Sent Items included, gets its own directory with one file per message.

Who needs PST to PDF Converter Tool

Legal and eDiscovery

Counsel and review teams turn a custodian's archive into court-ready PDFs on a clean review box. Select folders within the matter's scope. Run an email duplicate remover on the PST first to avoid producing the same message twice.

IT and HR

Open the .pst a departed employee left behind, export the folders that matter, and hand back readable PDFs. It needs no mailbox login or Exchange connection.

Personal archives

Keep your old Outlook backup readable a decade from now. PDFs open on any phone or laptop; a raw .pst needs Outlook or a dedicated viewer.

Frequently Asked Questions

No. The libpff engine reads the saved .PST or .OST on its own, so the PST to PDF Converter Software works on a machine that never had Outlook. You only need the archive file. To simply read the mail without exporting it, a PST viewer opens the same file.

Inline images embed into the PDF when you enable the option. The current version does not save separate file attachments. Each PDF carries the message header and body with its inline images, so keep the original .PST if you need the attached files themselves.

No. Everything happens on your computer, and nothing is sent to a server. For HR or legal mail, that is usually the deciding reason to pick a desktop tool over an online one.

Yes. Use the tree's checkboxes to select just Inbox and Sent or one subfolder. You can also export a filtered set of messages.

Save as PDF for sharing and archiving, HTML to preserve the original formatting for the web, or TXT for plain text you can search or use in other tools.

No. It works on one archive per session, and opening a new file replaces the current one. For separate .EML or .MSG files, SoftOrbits makes dedicated EML to PDF and MSG to PDF converters.

Yes. An orphaned .OST (an offline-cache file left after a mailbox is gone) opens just like a .PST.

It reads the .PST directly, so Outlook does not have to be installed or set up. The Acrobat add-in works inside Outlook and needs the mailbox loaded there, and Microsoft Print to PDF saves one message per print job. Here you tick whole folders and export them in one run.

If the engine cannot open a locked archive, you get a clear error. Standard, unprotected .PST and .OST files convert normally. Forgot the password? Use Outlook PST Password Recovery to unlock the file before converting it here.

Merge all into one PDF is on by default, putting every selected message in combined.pdf. Turn it off for one file per email, named after its subject. Matching subjects become Subject and Subject_2; an email without a subject is saved as email1.

The trial opens a .PST or .OST, shows the full folder tree, and lets you preview every message at no cost. Without a license, you can convert up to 10 messages per export run. A license removes that cap.

A PST is the Outlook data file that holds a whole mailbox in one database, which only Outlook or a dedicated tool can read. A PDF is a fixed page layout that opens in any browser or reader and prints the same everywhere. Converting turns the mail inside the PST into documents you can hand to someone who has no Outlook.

Classic Outlook saves messages as .msg, .htm, .mht, .txt, or .oft. For PDF, use File > Print and choose Microsoft Print to PDF as the printer. You get one PDF per message and must enter a file name each time.
